This Privacy Notice sets out how Tusk Trust Limited (referred to simply as Tusk) uses and protects any personal information that you share with us.
We collect information about our supporters in order to make sure we are as effective as we can be in our efforts to protect the wildlife and habitats of Africa.
It is important for you and for us that we protect your privacy. Should we ask you to provide certain information by which you can be identified, then you can be assured that it will only be used in accordance with this Privacy Notice. Tusk Trust Limited is a Charity registered with the Charity Commission for England & Wales (charity number 1186533) & a Company registered in England and Wales (company number 11948023), and owns the trading subsidiary Tusk Trust Trading Ltd. (company number 273 4905). This privacy notice relates to the data processing activities of Tusk Trust Ltd. and Tusk Trust Trading Ltd. References to 'we', 'us' or 'our' are to Tusk Trust Ltd. and Tusk Trust Trading Ltd.
We are registered with the UK Information Commissioner’s Office (ICO) as a data controller, registration number Z1508455.

What we collect
Every time you get in touch with us by post, email, telephone, through our website, face-to-face and occasionally via social media, we may collect or update basic information about who you are, for example, your name. If you have been in contact with us previously, we may have already collected this information.
We hope you will be happy to tell us your first name, surname and your title if you use one. We like to be polite and friendly when we are in touch with you, and this information helps.
In addition, we may ask for your address, your telephone numbers and your email address. We may ask for other information (e.g. date of birth, dietary requirements, interests etc.) if it is relevant to do so.
We may also collect financial information (payment information such as credit/debit card or direct debit details, and whether donations are gift-aided), for example, if making a donation, buying a ticket, or buying merchandise. We do not hold credit/debit card details, which are destroyed as soon as the financial transaction has been completed.
If you are applying for a job or to volunteer with Tusk, we may collect information about how to contact you, your employment history, education and training and other personal information provided by you.
What we do with the information we gather

There are occasions when there are statutory, legal or regulatory reasons that guide the collection and storage of your information. For example, we are required to keep and use some of the information we have collected, processed and stored about you to supply information to Her Majesty’s Revenue and Customs (HMRC) or other relevant statutory or regulatory bodies. We may also have to supply information in the event that we are requested to do so, in order to assist police enquiries or respond to court orders.
Processing your sensitive personal information
We may process some of the sensitive personal information you provide, (e.g. information about your health) where it is relevant and you have given us your express consent to do so (e.g. for registering for a challenge fundraising event).
If you have provided us with your credit or debit card details for the purposes of making a donation or other payment, then we will use those details only for the purposes of processing that payment, which we do through a secure service provided by Stripe or WorldPay. We do not store card details, electronically or otherwise.
All electronic forms that request financial data will use the Secure Sockets Layer (SSL) protocol to encrypt the data between your browser and our servers.
Where a donation or other payment has been sent to us in the post, we will store a paper copy of the payment only for the purposes of maintaining an audit trail. Card details on these forms are destroyed before they are stored.
If you have provided Tusk with a Gift Aid declaration, then this will be held either as a paper record in our secure offices, or electronically on our secure database in the UK. For the purposes of claiming Gift Aid your name, first line of your address, postcode and the donation amount (against which we are claiming tax relief) will be shared with HM Revenue and Customs using their secure online portal. Please contact us to update your Gift Aid record should there be any change in your contact details or circumstances.
How we will communicate with you
We like to be able to keep you updated with news about the work we are supporting, invite you to events, and other opportunities to get involved and support our work. We do this through a tailored approach based on what you have expressed an interest in, how you have previously interacted with us and where you have offered your support. We may do this by post or, with your consent, by email.
How long will we store your personal information?
We will only use and store information for so long as it is required for the purposes it was collected for, and will destroy or anonymise information in accordance with our data retention schedule, which is available on request.
We never store payment card information, which is destroyed as soon as the financial transaction has been completed.
We are committed to ensuring that your information is secure. In order to prevent unauthorised access or disclosure, we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect online.
All data received and controlled by Tusk is stored securely in the UK. When using our website, you consent to the potential transfer of your data outside of your country of residence.

Controlling your personal information

Please note if you request to stop receiving communications, we will store your details on a secure database to enable us to comply with your request.
We will never sell your personal information. However, we may share your personal information where it is better and more cost effective to employ trusted suppliers to help us deliver the best service in certain areas of our work. Where possible, information is anonymised before being shared with the suppliers to ensure that you are not identifiable from the information. Otherwise, we will not share your personal information with third parties unless required by applicable law.
These third parties include suppliers that meet the highest professional standards and help us deliver the best service in certain areas of our work. Our trusted suppliers only use your information to carry out the work requested by Tusk. They cannot give, sell or rent your personal information to anyone else for any reason. Examples of our suppliers include events’ organisers, and print and fulfilment partners.

Donations Refund Policy
Under charity law, charities are not permitted to refund donations, other than in specific circumstances. The Charities Act 2011 can be found here.
